Bank statement PDF to QBO for QuickBooks
Turn a bank statement PDF into a QBO file, then import it with QuickBooks Web Connect. The rows are balance-checked before you download. Five pages are free.
Convert a statementImport into QuickBooks Online
Intuit’s current upload path is under bank transactions. These are the steps from Manually upload transactions into QuickBooks Online, for a .qbo, .ofx, or .csv file:
- Go to All apps, then Accounting, then Bank transactions.
- Select the account tile if you already see one.
- Open the Link account menu and choose Upload from file. If the account is not connected yet, choose Upload from file.
- Select the QBO file and continue.
- Choose the QuickBooks account the transactions belong in. You can add a bank account from that menu if you need one.
- If QuickBooks asks you to match columns, match them and continue. A QBO file already carries the date, the description, and the amount.
- Select the transactions to import, continue, then confirm.
You review them on the bank transactions page before they become part of the books. Intuit’s own limit on one uploaded file is 350 KB and 1,000 lines. If that account is already connected to the bank, skip dates you already downloaded, or you can end up with the same transaction twice.
Import into QuickBooks Desktop
Back up the company file first. An import cannot be undone. Web Connect also asks you to sign in to your Intuit account inside QuickBooks Desktop. Intuit documents both of those in Import and export data in QuickBooks Desktop.
- Choose File, then Utilities, then Import, then Web Connect Files.
- Select the QBO file and open it.
- Choose an existing bank account, or create one, then continue.
- Confirm the import. Review the transactions in the Bank Feeds Center before you add them to the register.
The balance check
Before the file downloads, the converter adds the opening balance and the credits, subtracts the debits, and compares that with the closing balance. If the statement prints a running balance and a row breaks it, that row is marked. The check is in our code, on the rows you can see.
Questions
Does the same QBO file work in Online and Desktop?
Yes. Online uploads it from Bank transactions. Desktop imports it with Web Connect Files.
What if I want Excel instead?
The same conversion also downloads a CSV. Bank statement to Excel is how that file opens in Excel or Google Sheets.
What about a scanned statement?
Open the PDF and drag across a dollar amount. If the number highlights, the page has text. If the drag selects nothing, the page is a picture, and this converter cannot read it.
